Summary

As a Back Office Assistant at AirAsia, you'll be a pillar of our back-office team, providing comprehensive support across various departments. You'll wear many hats, handling administrative tasks, managing data, and ensuring efficient communication channels. From processing flight documentation to assisting with customer inquiries and maintaining accurate records, you'll be the glue that keeps things running smoothly.

Your success will hinge on your ability to prioritize tasks effectively, manage your time efficiently, and adapt to a fast-paced environment. You'll be a problem-solver, adept at identifying and resolving issues independently while collaborating effectively with colleagues across different departments.

Key Responsibilities

  • Provide comprehensive administrative support to various departments, including reservations, ticketing, and operations.
  • Process flight documentation accurately and efficiently, ensuring adherence to all regulations and safety standards.
  • Manage and maintain databases, keeping information organized and up-to-date.
  • Assist with customer inquiries via phone, email, or chat, providing prompt and courteous service.
  • Prepare reports and presentations to support various departments.
  • Liaise with internal and external stakeholders to ensure clear communication and efficient information flow.
  • Manage travel documents (passports, visas) and ensure they meet all regulatory requirements.
  • Perform other administrative duties as assigned, maintaining a flexible and adaptable approach.

Required Skills and Qualifications

  • High school diploma or equivalent (For freshers, strong academic performance and demonstrably exceptional organizational skills will be considered).
  • Minimum of 6 months of experience in a customer service or administrative role (For freshers, relevant internship experience or exceptional performance in projects requiring organization and attention to detail can be considered).
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with colleagues and customers.
  • Proficiency in computer applications, including Microsoft Office Suite (Excel, Word, PowerPoint) and a willingness to learn new software.
  • A keen eye for detail and a commitment to accuracy in all tasks performed.
  • The ability to work independently and as part of a team, demonstrating a collaborative and helpful spirit.

Experience

This role is open to both experienced administrative professionals and enthusiastic fresh graduates. For experienced individuals, a minimum of 6 months of demonstrably successful experience in a customer service or administrative role is preferred. However, highly motivated recent graduates with strong organizational skills, a willingness to learn, and a positive attitude will also be considered.
