Summary

Key Responsibilities:

  • Manage calendars and schedules for assigned executives, ensuring timely reminders and efficient scheduling practices.
  • Arrange travel itineraries, including booking flights, hotels, and transportation, adhering to company policies and budget guidelines.
  • Prepare presentations, reports, and other documents according to the executive's specifications, ensuring accuracy, clarity, and professional formatting.
  • Draft and manage professional correspondence, including emails, letters, and meeting agendas.
  • Manage incoming and outgoing communication for the executive, including phone calls, emails, and inquiries.
  • Coordinate meetings and appointments, ensuring smooth execution and timely distribution of materials.
  • Organize and maintain filing systems (physical and electronic) for efficient document retrieval and information management.
  • Anticipate the executive's needs and proactively provide support to ensure smooth workflow and maximize efficiency.
  • Research and compile information as directed by the executive.
  • Maintain a professional and organized work environment for the executive.
  • Liaise with internal and external stakeholders effectively, fostering positive relationships and clear communication.
  • Stay up-to-date on company policies, procedures, and best practices for administrative functions.

Required Skills and Qualifications:

  • Bachelor's degree in Business Administration, Public Administration, or a related field (exceptional candidates with an Associate's degree and relevant experience will also be considered).
  • Minimum 1-2 years of experience as an Executive Assistant, Administrative Assistant, or similar role.
  • Excellent communication and interpersonal skills, both written and verbal.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software programs.
  • Ability to work independently and as part of a team.
  • Strong attention to detail and accuracy.
  • Proactive and resourceful with a positive and can-do attitude.
  • Discretion and ability to maintain confidentiality.

Experience:

We are seeking candidates with a minimum of 1-2 years of experience in an Executive Assistant or similar administrative role. However, we are also open to exceptional candidates with an Associate's degree and demonstrably strong organizational and communication skills who are eager to learn and grow in this fast-paced environment.
