Summary

As an Office Assistant, you'll be the backbone of our office, providing a variety of essential tasks that keep us running efficiently. Your responsibilities will range from managing our reception area and greeting visitors to scheduling appointments, coordinating travel arrangements, and maintaining filing systems. You'll also be responsible for data entry, document preparation, and providing administrative support to our professional staff. Key Responsibilities:

  • Manage reception area duties, including greeting visitors, directing calls, and providing general information.

  • Maintain filing systems (both physical and digital) and ensure accurate document organization.
  • Perform data entry tasks and prepare documents efficiently and accurately.
  • Order office supplies and maintain inventory levels.
  • Provide administrative support to professional staff, including photocopying, faxing, and preparing presentations.
  • Contribute to a positive and professional work environment.

Required Skills and Qualifications:

  • High school diploma or equivalent (minimum).
  • Strong organizational skills and a meticulous attention to detail.
  • Excellent communication and interpersonal skills, with the ability to build rapport with a diverse clientele.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to prioritize multiple tasks and work effectively in a fast-paced environment.
  • Ability to learn new software and procedures quickly.
  • Positive attitude, professionalism, and a commitment to providing exceptional service.
